This page contains answers to common questions handled by our support staff, along with some tips and tricks that we have found useful.

IMPORTANT NOTE:  If you are using one of the following programs:  I-RENT II, XPRESELL, I-Sell, QUICKFIX XP  then you should go to the updates section and download any latest update and save them onto your computer. (The date of the update is shown.

I-RENT II

ROI

It is impossible for Rental Manager or I-RENT II to compute a complete ROI because there are too many personal variables such as financing etc.   I-RENT II gives you information which can assist you in determining your ROI.   Examples.  When you inserted your equipment into the database you were prompted to insert your cost.   Each time you close a contract I-RENT II keeps a history and totals the fees charged. You can access this information from within the equipment database module.  See manual for earned income.

Rent or Sell something when the program tells me I am out of stock ?

From within the contract screen just click on the "Find" radio control button and go to the appropriate database, change the count and return back to the contract or invoice under development.  The count will have been adjusted and you can now sell or rent the item.  

One thing to consider is the reason the count was off!

Can I change the deposit once a contract has been created?

You cannot change the deposit amount on any contract once created and your deposits are tracked automatically in your daily report.

If the reason for wanting to change the contract deposit is because the client has rented more equipment then you can create another contract for new items and accept a deposit for that contract.

RESERVATIONS:

Make sure you delete a reservation after you have completed the contract.  Nothing will be hurt if you don't but you are using up disk space.

Use the reservation module from your home screen to give rates to a client.  It is faster than going to the equipment database or looking on the printed price list.

If you are reserving a item which is out on rental you will be notified that you should check for a conflict.

You can record special arrangements about a reservation on the notepad and if needed use the in-house e-mail to notify the front counter.

A/R problems:

If you get an error message (file not found) while batch printing statements then you did not establish a folder for the client I-RENT II was trying to print a statement to.  Remember to run your A/R check prior to printing statements and let it locate any clients without a A/R folder in place.

Do not charge to account a rental to a cash client.  I-RENT II will notify you that you should not but you can still over-ride and continue.

If while printing statements (batch) the stealth audit program finds a problem it will stop the printing and notify you.  Just mark the statement for later review, continue and when through check the statement carefully before resetting for a new month.  You have many options on how to handle this problem if the statement is not correct. (see your manual)

SPECIAL RENTAL OR SALES:

Below are ways to solve special circumstances when renting or selling with I-RENT II

 

EDITING EXISTING CONTRACTS

I-RENT II allows you to edit an existing contract with two modules.  Existing contract and Close contract.  There are two things you cannot change.  The deposit and the quantity rented.  If you must change the quantity rented then return the item and immediately insert it again with the correct quantity rented.  This will assure your inventory count is maintained.

Where a rental item is and who has it ?

From you home screen on I-RENT II go to "Reports Etc" and run "Where Is" - or - if using Rental Manager look for "Where Is" on your desktop.

How many times a rental client has rented a particular item ?

On I-RENT II go to the rental equipment database, find the item in question then click on "income report" on the top left of the screen.   All rentals with the client will be listed.

I-SELL (all versions)

Sales2000 lite gives me a "file not found" error after I set up the download and try running the program ... ?

Two possible answers.  

 First: make sure you have ran both parts of the install procedure "Setup" and "Register"   (See special instructions and warnings on our FREE tutorial section of this web site)

Second :  If you changed the default directory in the setup module you must also change it to match when running the register program.  Go back and remove the program and re-install again using the default.

Rental Manager

Will Rental Manager work in Microsoft Windows?

Rental manager will run in a DOS shell from within Windows 3.1 - 98.  You can have it run full screen or in it's own window.  You can also run other programs concurrently while running Rental Manager.  If full screen then it will appear just as it always has but if in a window then some parts will appear a bit different but you will be able to see the other programs loaded and switch between them.  Try them both and decide what you like.  Your mouse will not work!

Business Partner POS

How do I get to the payables section to create a PO?

Remember you have two sides to this program.  The income and payables are both on-line and can be viewed by choosing from the menu on top of the screen.  Even though the screen appears similar the information shown will be different.  Both the income and payables side work in a similar manner.

How can I change from my receipt printer to my regular printer when I want to do reports or statements?

There are switches which allow you to change from one printer to another by selecting the printer on a control panel.   This way you can have both printers on-line at the same time and just direct the output to the printer you want.

How can I get the output sent to my serial printer?

There is a DOS command MODE LPT1:=COM1 which should  re-direct your output from your parallel printer port to your COM port A or 1.  If you set this command in your autoexec.bat file then your printer output should go to your serial port.  Be advised that you will probably have a hard time running the various reports and statements from a receipt printer.

The next version of  QuickSale-XP going to be available?

QuickSale-XP has been updated and replaced with XPresSell.. It is designed to run on Windows XP through Windows 8

The new Back-It XP going to be available ... ?

Back-It 2000 for Windows 2000- XP has been taken off the market.

The latest version of Quick-Fix XP going to be released.

        Version 5.0 of the work-order, clients and inventory database are now available.

I-Sell - YardPro - PoolPro - ServAid - QuickSale (including xp) ... ?

Why do I keep getting an error message when I try to access the inventory database?

During the initial setup you were prompted to insert your company information. You were also told to activate the (set paths initial install only) prompt.   If you did not follow these instructions and did not activate the set paths prompt,  then your inventory database was not setup and when you try to access something that is not there.. you get the error.  Go back and re-setup from the managers menu.

In addition to that issue.  If you did set up the database properly and then after putting in your inventory and then if you returned to the setup module and once again activated the (set paths initial install only) you would have removed access to your inventory.   The only repair is to copy the file "sinv.num" from your backup and place it in the c\program files\  isell xp \ saleinv folder.

What are the latest XP versions ... ?

I-Sell XP is 4.1

QuickSale-XP is 1.0.16  (NOTE: The latest release is titled XPress-Sell Ver. 2. 0.4)

QuickFix XP is 5.1.3

YardPro XP is 4.1

PoolPro XP is 4.1

ServAid XP is 4.1

These version numbers show up on the splash screen when you first start the program.. If your version is not up to date then there may be known bugs, you may also be entitled to a free update... Contact support 

How do I get my printers to work with i-SellXP ?

From the point of sale screen click on the pie chart shown on the bottom right.  A pop up window will appear asking which printers you want to run.   If you want to print both a 8x11 invoice and a standard sales receipt then you must place the dot matrix printer used for the detailed 8x11 invoice on the LPT1 port and the receipt printer on the Com port.   Make the receipt printer the default printer and the program should take care of the assignments during printing.  If you want to use either a ink-jet or laser printer then it should be your default printer and you will define the font, font size and number of copies.

How do I get my printers to work with statements?

From the batch statement printing screen click on the top right link which will allow you to define the font and size you want to use.  This is a one-time decision, but it can be changed as frequently as you want.

My printer output is not working or wrong?

Some late model ink-jet and laser jet printers will not work where we have specified a "dot-matrix" form printer.  You should verify that your printer will accept DOS level, Epson command codes.

Try setting up any printers you want to use as "generic text only" printers and they should work... Note. if your printer will not respond with generic then it may not be compatible with our software.  Some laser and off brand printers have their own drivers which you may have to obtain and install from their manufacturers.

How do I get i-Sell to read a bar code ?

There are two ways to insert inventory into an invoice with I-Sell. (Same for quick-fix)  The first is by choosing from the list presented on the screen and the second is for using a wedge type bar code.

On XPressSell If you want to use a bar code then just activate the choice shown on the bottom right near the totals and your inventory list will be removed during all future sales and a pop up window will appear which asks for the part number.  Just scan it in, follow the prompts and continue inserting items using your bar-code reader.  If you want to toggle back to the inventory list (manual pick) then you may at any time by escaping the bar code window and inactivating the barcode prompt.

Another point when using a bar-code reader is to click on the clients name just after you escape or cancel the barcode input window and before you click or choose finish.

How does this program activate the cash drawer ?

The program itself does not activate the cash drawer.  You must have a receipt printer which opens the drawer.  These are quite common and available from all the major receipt printer vendors.

How do i change the picture on QuickSale and XPress Sell?

If you have the program running and you see the default picture on the POS page then you will find the "Ad" file on your hard drive at the location you saved the QuickSale or Xpress sale program files.   You can load this advertising file into any drawing program file, change it and save it over the existing file and it will load and be shown when you re-start the program.  You can change this file anytime you want.

How do i RETURN special sales on QuickSale - or - XP Sell?

If you have edited the normal selling price on quick sell and you want to return the item before you have closed the sale just click on edit then click on return then scan the item into the sale.

You have two choices.  You can more fully automate the program with a dot matrix printer for work orders and a receipt printer for invoices.   -- or -- you can use one ink-jet printer for all printing.  

You make your choice from the managers menu, and for statements from the billing module. (see below)

First Choice: QuickFix is designed to run two printers automatically and without having to go through the normal windows routine of selecting a printer each time you print.

If setting up for two printers. The first printer is the one which prints your work orders.  It should be a fast dot-matrix forms printer with Epson command codes.   It should be attached to LPT1.

The second printer is the receipt printer which is used to create a counter receipt for your customer and by using the yellow copy, an audit trail of your daily income.  This printer is only used when you take in money by closing a work order.  It should also have Epson command codes and be attached to your serial port.  This printer should be assigned the default through windows.

If you want to use a Ink Jet or Laser printer you can change the defaults from the manager screen

How do I get my printers to work with statements?

Why do I need a dot-matrix (forms) printer ?

While we suggest this if you are a busy shop, you can also use a ink-Jet or Laser if you want.  Also realize if on a network you can have separate printers for each work station. (You must map your network drives)

When you create a work order on a dot matrix printer, you can make carbon copies .  This allows you to provide your client with a copy, attach a copy to the item being repaired and keep one for yourself.

Unlike the newer ink-jet and laser printers, the dot-matrix printers have a built in processor, capable of printing from DOS commands.

How do I get QuickFix  to read a bar code ?

There are two ways to insert inventory into an invoice with QuickFix  The first is by choosing from the list presented on the top right of the screen and the second is for using a wedge type bar code.

If you want to use a bar code then when the flashing cursor is in the inventory list, and there are no items shown you can just read the barcode.  A prompt will appear asking for the quantity.  Follow the prompts and continue inserting items using your bar-code reader.  You can also just type in the part number if you know it, drop down the list and find the item and click on it, or type in part of the description and click on the search button, then drop down the list and it will be reduced to match.

How does this program activate the cash drawer ?
